Study first

Review the ideas behind the questions

These notes help you choose the right way to group CRM records before a sales or marketing task. Focus on whether the group should update automatically, who needs access, and whether the filter should stay saved.

Use saved views for day-to-day work

Saved views help teams return to filtered CRM records without rebuilding the same view each time.

  • A saved view can use filters to show a practical set of records, such as owned contacts or open deals.
  • View visibility should match who needs the work queue: private, team, or everyone.
  • Deleting a saved view removes the view, not the records inside it.

Save filters that need to last

Temporary filters are useful for checking records, but repeat workflows need saved filters.

  • Record index pages let users filter and segment records based on object properties.
  • Filters must be saved as a view when the team needs to return to the same record group later.
  • Saved views can also have columns, sort order, and visibility settings adjusted by allowed users.

Choose active or static segments deliberately

Segments group records, but active and static segments behave differently after they are saved.

  • Active segments update as records meet or stop meeting the criteria.
  • Static segments capture the records that meet criteria at the time the segment is saved.
  • Use static segments for one-time groups, such as event attendees, when new matching records should not join automatically.
